Private hire

Deposit and payment

  • A 50% deposit secures your date.

  • The balance is due 3 days before your event. We'll send the invoice a week ahead, and we may release the date if it isn't paid by then. Invoices are available on request.

  • Hampers and add-ons are confirmed at the time of booking.

Film and content

  • Film licence is included with The Premiere and The Red Carpet. Confirm your film choice at least 14 days before your event. Not all titles are available.

  • Your own footage: The Matinee is for your own footage only (not commercial films, TV, streamed content or recorded concerts). You confirm you have the right to show it, and send it at least 7 days before your event so we can test it on our setup (MP4 preferred). We may decline or stop anything unlawful, infringing or inappropriate for the room, with no refund.

  • BYO drinks. Glasses and an ice bucket provided.

Travel and your site

  • Travel is included within 20km of New Plymouth CBD. Beyond that, a surcharge applies, quoted before you book.

  • Your site needs flat, firm ground with drive-on access for a 17ft caravan, and a standard household power outlet within reach. Send us the address or a photo and we'll check. If we arrive and the site can't be used, we'll move your date once at no charge. After that it counts as a cancellation.

Cancelling or moving your date

  • 21 or more days before: move to another date once at no charge, subject to availability, and your deposit carries over. If you cancel instead, the deposit is non-refundable, because it holds your date.

  • 7–20 days before: the deposit is non-refundable. We can still move your date if we have one free, and the deposit carries over.

  • Under 7 days before: the full booking price is due. If we can re-book the date, we'll refund what we can, minus costs.

  • Film licences are paid 14 days before your event, so they're non-refundable from then on. Anything made or ordered specially for your event (hampers, keepsakes) is non-refundable once ordered.

If we cancel, or the weather does

  • If we're unwell, the caravan breaks down, or we judge it unsafe, we'll move you to the next date that suits, or give you a full refund. You'll never pay for a night we couldn't deliver.

  • Rain or cold alone won't cancel your night. The cinema is inside the caravan.

  • If there's a MetService orange or red warning, wind too strong to tow or set up safely, or ground too soft for the caravan, we'll decide with you. We'll check the forecast 24 hours ahead and on the day, and tell you at least 3 hours before arrival if we're not going ahead.

  • If we cancel for weather, we'll move you to the next date that suits, with your deposit carried over, or give a full refund if we can't find a date within 6 months. If conditions rule out the outdoor awning, we'll run the night inside the caravan and refund the add-on.

  • A forecast alone isn't a reason for you to cancel. If you cancel before we've called it, the cancellation terms above apply.

Public screenings

  • Tickets are non-refundable, but you can pass yours to a friend. Just let us know and we'll update the name.

  • Minimum numbers: screenings need at least 6 tickets sold to go ahead. If we haven't reached 6 five days before, we may cancel or reschedule. We'll email all ticket holders, and you can choose a full refund through Humanitix or a place at the next screening.

  • If we cancel or move a screening (an orange or red MetService warning, unsafe wind, illness, or a venue problem), you can choose a free place at the rescheduled screening or a full refund through Humanitix. Rain or cold alone won't cancel a screening. We'll email ticket holders and post on Instagram as early as we can, and no later than 3pm on the day.

  • Arrival: doors open 15 minutes before the film. The film starts on time, and late entry is at our discretion.

Film licensing

Mini Cine operates in line with New Zealand copyright requirements. We arrange the licence for any film we supply. If you bring your own content, it's your responsibility to have the right to show it.
